Search for 'CRM cost' and you will find a tidy list of per-user prices: $25 here, $99 there, enterprise tiers for the rest. None of those numbers are wrong, but every one of them understates what a real CRM implementation costs. The licence is the cheap part. The setup, the data migration, the integrations and the training are what actually move the budget.

The real cost stack

For a small team of 5 to 15 users, expect to spend roughly 2.5x the annual licence cost on the initial implementation if you hire an external partner. If you do it yourself, budget 40 to 60 internal man-hours for the migration plus another 20 hours for team training. The cheapest CRM rollouts we see are the ones where the team has already defined the sales stages, the lead sources and the reporting they want. The most expensive are the ones that try to be everything to everyone from day one.

Where the money actually goes

  • Licence fees: $25 to $300 per user per month, tiered by feature depth
  • Setup and configuration: $1,500 to $6,000 for a typical small business build
  • Data migration from spreadsheets: $800 to $4,000 depending on volume
  • Integrations (accounting, email, booking, telephony): $500 to $5,000 each
  • Training and onboarding: $500 to $2,000 for a 2-day hands-on workshop
  • Ongoing optimisation: $400 to $1,500 per month retainer

The hidden cost nobody budgets

The single most under-budgeted line is 'team adoption'. A CRM nobody updates is shelfware. It does not matter if the licence is $25 or $300. If your sales team is not logging calls the day they happen, the data is two weeks stale and the pipeline forecast is fiction. Plan for an internal champion whose job, for the first 30 days, is to make sure every record is touched at least once.

When the cheap option is fine

If you are a solo founder with fewer than 50 active leads a month, a $25 CRM with a weekend of setup is the right answer. If you are running a 10-person sales team with weekly forecast calls and a real need for source attribution, you are buying a system, not a tool, and the budget is closer to $15,000 in year one than $3,000. The mistake is not paying either number. The mistake is paying the small one and then wondering why nobody is using it.
